Overview

We are seeking a Administrative Assistant for assignment in The Villages, Florida. The selected candidate will assist staff with project support as well as represent the firm to our clients over the phone, through email and face-to-face.

 

Hours are Monday - Friday,  8:00am - 5:00pm

 

** This position has a pay rate of $20/hr **

Responsibilities

- Follow up on all action items with all managers, coordinate updates, keep the tracking dashboard current and keep the group prepared for meetings

- Maintain excellent follow through, when assigned items; this position is expected to continue to “push” these items to owning parties and keep other staff, the client and upper mgmt up to date on all issues

- Take over monthly reporting and work with direct supervision to ensure they are delivered on time and also reach out to all contributors prior to the 8th of each month to ensure all data is ready, so nothing is running late

- Capture above noted action items via email, attending meetings and from the developer, district and action item meeting agendas and rolling them into the Villages Tracking Dashboard

- Assist new hires with their initial onboarding, including day one training and a quick tour of the facility

- Begin creating employee files starting with day one training checklist and uploading to SharePoint site for future record keeping

- Assist with scheduling team meetings in the office, off-site and via Microsoft Teams

- Make requests for new associates tech hardware to ion group for phones, etc.

- Reconcile billing accounts, track inventory, order supplies and maintain a record of all purchases

- Liaise with executive and senior administrative assistants to handle requests and queries from managers

- Assist with internal event planning activities

- Work with other admins to build the admin combined group

- Perform other duties as assigned

Qualifications

- High School Diploma or GED

- A valid Drivers License

- 1+ years Administrative experience

- Proficient in Microsoft Word, Excel, Teams and Outlook

- Proficient in record keeping and billing

- Bilingual with Spanish is a plus
