  • Overview

    We are seeking an Administrative Assistant for assignment in Fayetteville, Arkansas. The selected candidate will provide a wide variety of administrative and staff support services to our clients organizational unit.

     

    Hours are Monday - Friday, 8:00am - 4:30pm

     

    ** This position has a start date of January 7th, 2019 **

    Responsibilities

    - This advanced level position has specialized skills/knowledge in the area or department being supported and performs diverse and complex activities independently

    - Interfaces with outside Board members, high-level clients, government officials, and dignitaries, requiring an extremely professional demeanor and customer service approach

    - Typically supports executive management in coordinating project files, managing information flow, or arranging travel schedules and meeting planning

    - Responsibilities are typically confidential in nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgment, tact, and diplomacy

    - May execute special or continuous research in support of a project, collect data and analyze complex problems associated with a project, or may act as coordinator or budget manager of departmental projects

    - Prepares specifications for bidders

    - Reviews purchase requisitions from departments, obtains competitive price quotes, then prepares purchase orders

    - Maintains log of purchase orders, check vouchers, expense reports, check request, budget accruals

    - Maintains a current list of approved vendors and verifies receipt of items on vendor's invoice against purchase order before forwarding for payment

    - Maintains confidential personnel records associated with payroll including salary data, performance data

    - Assists in preparation of annual budgets and proprietary data for bids, proposals, and other project development activities

    - Creates and prepares correspondence and reports

    - Performs other duties as required

    Qualifications

    - High School Diploma or GED

    - A valid Drivers License

    - 5 or more years of administrative support experience, with some prior experience in an administrative leadership role is preferred (8 years total experience preferred)

    - Must be able to type a minimum of sixty (60) words per minute

    - Proficient in Microsoft Word, Outlook, Access, PowerPoint and Excel; ability to develop worksheets, pivot tables and graphs from data

    - Knowledge of the principles and methods of centralized purchasing, accounting, and cash management procedures
